1) Booking & Payment Details

In order to reserve a booking, customers must contact Wye Valley Campers by telephone. A non-refundable booking deposit of £150 is to be paid by credit/debit card. (Please note there is a 2.5% charge extra charge for credit cards. No extra fee for debit cards.)

Should you be unable for any reason to have a campervan for the pre-booked period, we may be able to offer you alternative dates later in the season or next year. The £150 booking deposit will be kept and honoured for the alternate dates. Cash may be used to pay for the booking deposit by calling in at Wye Valley Campers in person.

A Booking Confirmation will be sent out to customers confirming the dates booked and the balance to pay on collection of van.

- Before customers can depart with the Vehicle on their day of hire, they must review and sign the condition and contents check list on arrival.
- By signing the condition and check list customers accept the conditions set out here to, but are not limited to, conditions with regards to 'Your Responsibilities', 'Conditions for Using the Vehicle', 'Charges', 'Maintenance' and 'Collection and Delivery of the Vehicle'.

At the time of booking, in order to process the insurance cover, the following driver licence details should be provided;

Full name,
Address on driver’s licence,
Licence number,
Any endorsements or convictions,
Type of licence (Full UK or EU)
Length of period held,

(The above information is required by our insurers)

2) Driver Age

All drivers must be aged between 25 and 70 unless otherwise agreed by Wye Valley Campers. Drivers outside of these ages may still be eligible to hire our vans, if proof of alternative insurance can be provided.

3) Fuel/Mileage Policy

All vehicles are supplied with a full tank of fuel at the start of the hire. Customers must return the vehicle full at the end of the rental. If you return the vehicle part full you will be charged for the missing fuel at the end of the rental at £1.75 a litre. (There is a 24 hr petrol station a few hundred yards from Wye Valley Campers).

All of our vehicles are diesel. A charge of £200 will be made for incorrect fuelling.

Wye Valley Campers have an unlimited mileage policy.

4) Payment

Payment is to be made by debit card (Switch, Solo, Maestro, Visa, Electron) or credit card (Visa, Mastercard, American Express). Final rental charges are to be paid at the beginning of the hire period. Please note: Credit cards incur an extra 2.5% charge of total hire price. There is no extra charge for debit cards.

Wye Valley Campers does not except cheques. Cash may be used to pay for the final rental charges by calling in at Wye Valley Campers in person.

5) Security Deposit

On taking delivery of the Vehicle, customers must pay the £500 refundable Security Deposit. This may be paid by debit/credit card or by cash. The customer must irrevocably authorise Wye Valley Campers to deduct from the Security Deposit any amounts due by the customer to Wye Valley Campers arising out of this Agreement.

The security deposit will be refunded within 7 working days of the vehicle being returned to the correct location, undamaged, with a clean interior and with a full fuel tank. We reserve the right to retain a £100.00 valeting fee if the Campervan is not returned with the interior in a clean condition.

Cheques are not accepted.

6) Driving Licence & Identification

On collection of the vehicle: Customers driving the vehicle must present a valid UK or EU Driving Licence in person and with additional proof of their current address. Documents accepted: utility bill (within last 3 months), bank statement (within last 3 months), Passport. No copies of licences will be accepted.

Drivers aged between 25 & 70 must have held a full driving licence for at least 2 years. Drivers outside of these ages may still be eligible to hire our vans, if proof of alternative insurance can be provided.

Licence endorsements up to 6 points are accepted. Full details of all license endorsements must be given to Wye Valley Campers at the time of booking. Additional drivers must present a valid driving licence (both parts of new UK or EU Licence are required). There may be an extra charge for additional drivers.

In addition to the above, the vehicle shall not be let out on hire to or be driven by:

- Persons who have any mental or physical defect or infirmity or suffers from fits, diabetes or any heart complaint.
- Persons who have had their insurance declined and/or renewal refused and/or special insurance terms imposed as a result of claims experience and/or have had their insurance or cover cancelled by any Motor Insurer.
- Persons who, whilst driving, have been involved in more than one accident during the past 3 years.
- Persons with a non-UK/EU passport.
- Persons disqualified from driving.
- Some international driving licences are accepted, we will have to check with our insurers, unless otherwise agreed with Wye Valley Campers.

7) Collection/Delivery & Return of the Vehicle

The Vehicle will be supplied in a clean condition and in sound working order in accordance with the Hire Checklist and with one semi-full and one full bottle of gas before they depart with the Vehicle. Customers must sign to acknowledge this. (The Rental Agreement will be produced for signature prior to departure).
Customers must comply with the collection and delivery times as set out in the Rental Agreement.

8) Rental Terms/Speeding, Traffic offences, Parking tickets

Customers must agree to the following:

Wye Valley Campers is authorised to complete any documentation and to take any other action to recover from the customer's credit/debit card issuer all amounts due by the customer in accordance with this Agreement including, any amounts due in respect of damage to the Vehicle or to property of a third party and all other additional charges as they are incurred (including all parking and traffic infringement penalties and associated administration costs).

Customers will not dispute their liability to Wye Valley Campers for any amount due under this agreement and shall indemnify and keep indemnified Wye Valley Campers against any loss incurred (including legal costs) by reason of notifying –their credit/debit card issuer of such dispute.

In the event that Wye Valley Campers elects to accept payment of the Security Deposit by holding an open security payment which will be cancelled at the completion of the Rental Period, the customer must agree that Wye Valley Campers is entitled to recover payment from their credit/debit card in respect of any amounts due which were not known at the time of cancelling the open security payment.

All transactions under this agreement are conducted in Pounds Sterling. Due to exchange rate fluctuations, there could be some variance between the amount initially debited against credit cards and the amount refunded within 7 days after the expiration of the rental period. The customer must release Wye Valley Campers from any liability for such variation.

When the customer books, they accept the conditions set out in this text:
The vehicle will be available on time and on the day it was requested. If the customer does not arrive to collect their reserved vehicle on the day and at the time it was reserved no refunds will be made.

9) Terminating the Agreement

The customer acknowledges that Wye Valley Campers may terminate this Agreement and repossess the Vehicle at any time, without notification to the customer, and that the customer will pay the reasonable costs of repossessing the Vehicle, including towing charges if:

- They are in breach of any term of this Agreement.
- They have obtained the Vehicle through fraud or misrepresentation.
- The Vehicle appears to be abandoned.
- The Vehicle is not returned on the agreed return date or Wye Valley Campers reasonably believes that the Vehicle will not be returned on the agreed return date.
- Wye Valley Campers considers, on reasonable grounds, that the safety of passengers or the condition of the Vehicle is endangered.
- The customer understands that in the event of such termination or repossession, they have no right to a refund of any part of the rental charges or the Security Deposit.
- The customer has altered, swapped or removed any part of the vehicle’s contents, trim or mechanical part. This will also be treated as theft.

10) Cancellation Charges

The booking deposit of £150 is non-refundable, however:

Wye Valley Campers understand that sometimes cancellation for valid reasons is unavoidable. Please understand that when we have accepted your booking, those dates are un available to other prospective hirers. Therefore we will only honour carrying over the booking deposit to other dates for special reasons, if notice of cancellation is given 30 days before the start of the hire period.
In the event of cancellation, booking deposits may be transferable to alternative available dates later in the season, or next season. This may be done only once.

If appropriate identification and/or the necessary payment/deposit are not produced at the time the Vehicle is to be collected or the Terms and Conditions are not adhered to in any way then the rental cannot proceed and the cancellation policy will be enforced.

Cancellations may only be made by contacting Wye Valley Campers by phone, email or in person.

In the event that your vehicle is unavailable, on collection, for reasons out of our control, such as the vehicle has been involved in an accident prior to your agreed collection time of the vehicle, or due to mechanical failure, then we will endeavour to have a replacement vehicle in place. If a replacement vehicle is unavailable then we will refund all monies including your initial booking fee of £150.

11) Rental Period

If the vehicle is not returned on time, or if the customer does not contact Wye Valley Campers requesting an extension of the rental then the conditions of this agreement have been broken.

Wye Valley Campers will charge the customer for every day or part-day that the vehicle has not been returned. Until Wye Valley Campers receive the vehicle, the customer will be charged the hourly rate specified on the rental agreement.

12) Release and Indemnity of Wye Valley Campers

Subject to its obligation to deliver the Vehicle or an appropriate substitute vehicle, the customer must release Wye Valley Campers from any liability to the customer (regardless of who is at fault) for any loss or damage incurred by the customer by reason of this Agreement, including but not limited to:

Any loss or damage caused by breakdown, mechanical defect, accident or the Vehicle being unsuitable for the customer's purpose.
Any loss or damage to any property left in or on the Vehicle or in Wye Valley Campers premises or recovered or handled by Wye Valley Campers. Customers are advised to take out their travel insurance and personal effects insurance.

Subject to any insurance arrangements agreed with Wye Valley Campers, I hereby indemnify and shall keep indemnified Wye Valley Campers, its employees and agents against any claims, demands and expenses (including legal costs) incurred or sustained by them or any of them by reason of my use and/or possession of the Vehicle.

13) Rental Agreement

The customer will be asked to sign a Condition and Contents/Rental Agreement upon collection of the vehicle so please review this prior to your departure.

'The Vehicle' = The VW Camper Van to be hired
'This Agreement' = Wye Valley Campers Terms and Conditions
'Condition and Contents/Rental Agreement' = Document listing terms of rental which hirer must adhere to
'The Customer/Hirer' = The person or persons signing this agreement
'Security Deposit' = £500 which is equal to the insurance excess fee
